Authorization Letter

Applicants may authorize a third party to apply for and/or collect documents including award certificate, academic transcript, letter of certification and testimonial, on their behalf.  

Notes to Applicants

  • The following information MUST be correctly stated in the authorization letter:
    1. Full name and HKID/passport number of your authorized representative
    2. Document type and number of copies to apply for and/or collect
  • Validity of an authorization letter is six months from the date of submission. Applicants should submit a new authorization online or sign a new form after expiry.

Submit Authorization Online Through AIMS

For Current Students

  1. Login to AIMS with your EID and password
  2. Select the Student Record menu
  3. Click My Applications (for Undergraduate and Taught Postgraduate Programmes), then choose Authorization Letter (for Taught Postgraduate Programmes)
  4. Fill in the form according to the instructions and press Confirm
  5. An email will be sent to your student account to acknowledge receipt of your authorization

For Alumni

  1. Login to AIMS with your EID and password
  2. Select the Alumni Services menu
  3. Click Application for Authorization Letter (for Taught Postgraduate, Professional Doctorate and Research Degree Programmes)
  4. Fill in the form according to the instructions and press Confirm
  5. An email will be sent to your alumni account to acknowledge receipt of your authorization

Documents Required for Collection

Your authorized representative should present the following upon collection of the document(s):

  • HKID Card/passport of your authorized representative
  • The email notification for your authorization

Provide Written Authorization Letter

Your authorized representative should present the following upon collection of the document(s):

  • HKID Card/passport of your authorized representative
  • ​An authorization letter signed by you (letter template is available here)
  • A photocopy of your CityU Student Identity Card/HKID Card/passport with your student number and programme code written on it (This document will be returned to your authorized representative after inspection.)
